Position Title Executive Assistant, Vice President's Offices
Position Summary
The Vice President of Development and Partnerships and the Vice President of Finance and Administration are seeking a permanent, full-time Executive Assistant to join their team!  The successful candidate will have some experience supporting an executive level supervisor and is able to adapt to multiple competing priorities and work with multiple stakeholders to deliver results on time.  

We welcome you to join our team as the permanent full-time Executive Assistant, Vice President’s Offices where you will support the Vice President, Development and Partnerships as well as the Vice President, Finance and Administration.
Position Responsibilities
Reporting directly to the Vice President, Development and Partnerships and Vice President, Finance and Administration, the Executive Assistant is responsible for coordinating the service operations, priorities, and the projects within these two portfolios. This position is responsible for the day-to-day operations and coordinating projects in the Vice President’s office and will work closely with Directors and Managers in these areas. Project coordination work will include providing research, consulting with internal and external project stakeholders, stakeholder management, analysis, workshop preparation, development of business cases and proposals, writing and provision of project management using specific expertise in these areas.

The Executive Assistant ensures the Vice Presidents are supported in a manner that allows for the most strategic use of their time through the effective management of day-to-day operations. The duties of this position require the incumbent to possess extensive knowledge of the Polytechnic environment and Polytechnic policies and practices. Most activities of the Executive Assistant involve dealing with material that is highly sensitive or confidential. The ability to achieve results in the absence of overt guidance from the Vice President is expected. The incumbent must be a strategic thinker, organizer, and work as a collaborative partner for optimal success of the Vice President’s Office operations.

The incumbent will be responsible for coordinating and assisting with the implementation of activities based on decisions at the Vice President level, including planning, routing, scheduling, and providing strategic advice. The Executive Assistant drafts correspondence and reports and conducts research ensuring accuracy of information.

Required Qualifications
  • Bachelor’s degree in business, human resources, social science, or related field; a combination of relevant education and experience may be considered
  • 3-5 years’ experience working with senior leadership/management teams in a large, complex organization, preference will be given to experience in a unionized post-secondary environment
  • 3-5 years progressive experience in project management
  • Ability to work autonomously, adapt to multiple competing priorities and work with multiple stakeholders to deliver results on time
  • Demonstrated capacity to exercise sound judgement in sensitive situations and maintain strict confidentiality
  • Resourceful at acquiring and delivering information clearly, concisely, and on time
  • Superior organizational and time management skills
  • Strong interpersonal and organizational skills including project management experience
  • Strong oral and written communication skills
  • Capable of exercising independent judgement in decision making
  • Initiative and resourcefulness in managing change
  • Superior level of expertise with MS Office products (Outlook, Word, Excel, PowerPoint, Teams, Office 365)
Preferred Qualifications
  • 5-7 years’ experience supporting an executive level supervisor
  • Certified Associate in Project Management / Project Management Professional designation candidate or certification is an asset
  • Supervisory experience (in a project management role) is an asset
Salary or Hourly? Salary
Salary $59,906 - $72,817 annually
