Position Title Risk, Privacy and Legal Coordinator
Position Summary
We are currently seeking a full-time Risk, Privacy and Legal Coordinator to join our team. Currently, this is a term position until August 2024.

The Risk, Privacy and Legal Coordinator performs a variety of legal coordination and administrative services, all of which contribute to the efficient and professional operation of the Risk, Privacy and Legal Services (RPLS) department. This position will work both independently and as a team member in the completion of its activities.

This position will have a genuine appreciation for and demonstrated understanding of protocol, discretion, and professionalism. The incumbent will have the ability to interpret and make decisions in accordance with the prescribed procedures and practices of the organization and the law.

Position Responsibilities
Risk, Privacy and Legal Coordination:
  • Drafts and reviews legal documents and correspondence including response to appeals (e.g. contracts, agreements, leases, rentals, MOUs, waivers, etc.)
  • Coordinates with divisions across the institution to ensure information is appropriate to initiatives and risks are identified
  • Drafts standard form contracts, policies and procedures, standard operating procedures
  • Conducts searches and research on various topics/situations including policy, procedures, safety, and risk items
  • Provides recommendations to department based on research conducted
  • Maintains legislative compliance framework and works with departments on compliance
  • Tracks requests for legal services from initiation through completion
  • Prepares and manages files such as claims, appeals, safety inspections
  • Acts as a Commissioner of Oaths for RDP business as required
  • Reviews documents and correspondence to ensure compliance with legal procedures
  • Communicates potential risks involved with specific contract terms
  • Manages Privacy Impact Assessments (PIA)
  • Participates in emergency response planning, preparation, and efforts

Projects and Reporting:
  • Coordinates data collection and collating of information as requested by the department
  • Prepares various reports for the department that may be presented institutional-wide or for the leadership teams
  • Assists with incident investigation reports as required
  • Assists department staff in meeting deadlines for various tasks and projects as required
  • Supports occupational health and safety audits, documentation, and notices
  • Supports the development and delivery of institutional safety awareness/education programs

Administrative Support:
  • Implements and improves administrative processes for more efficient workflow
  • Assists department staff with the procure to pay process ensuring compliance with RDP policies and procedures
  • Assists department managers with hiring, onboarding, and exiting processes including completing work required in electronic platforms (e.g., PeopleAdmin, E-Request, etc.)
  • Monitors ongoing training records for compliance with legislation as it relates to safety, security, emergency measures and business continuity.
  • Performs similar duties as assigned by supervisor

Required Qualifications
  • Two (2) years of post-secondary training, completion of a community college certificate including trades apprenticeships or equivalent in Legal Assistant or Business Administration.
  • Commissioner for Oaths or ability to obtain commission
  • Three to five years of relevant experience
  • Ability to complete tasks with a high degree of accuracy and efficiency, while dealing with competing priorities and interruptions
  • Advanced interpersonal skills including verbal and written communication
  • Familiarity with MS Office and Office 365
  • Proven ability to recognize, understand and contribute to team goals and objectives
  • Ability to take initiative and manage diverse subject matters
  • Demonstrated ability to strictly maintain the confidentiality of highly sensitive information
  • Ability to organize documents, schedules, and priorities
  • Working knowledge and understanding of legal terminology
Preferred Qualifications
  • Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of university in a related program representing four years of study or equivalent.
  • Familiarity with MERX
Salary or Hourly? Salary
Salary $30.04 - $35.14 per hour
Benefits and Compensation Information
An additional 15% of the hourly rate in lieu of vacation, statutory holidays and benefits.
