Position Title Administrative Assistant, People and Culture
Position Summary
People and Culture is seeking applications for a permanent full-time Administrative Assistant to join the Operations Team. The Administrative Assistant is the first point of contact for the People and Culture Division office and is the face of People and Culture at Red Deer Polytechnic. The Administrative Assistant is responsible for providing day-to day receptionist, customer service and administrative support services to the People and Culture (P&C) Division.
The incumbent is expected to work both independently and as a member of the People and Culture team to perform a wide variety of administrative and support services, all of which contribute to the efficient and professional operations of the Division.
Position Responsibilities
Responsibilities included but are not limited to:

Administrative Support
  • Provides support to the People and Culture team in scheduling meetings, booking rooms, organizing logistics, placing internal orders and requests and updating all P&C forms
  • Prepares and distributes employment verification letters and letters of portability
  • Administers the exit checklist processes including running & distributing quarterly reports and answering inquires regarding the process
  • Manages the extensive and constantly changing calendar for the Executive Director, prioritizing appointments and proactively resolving conflicts
  • Provides administrative support to the CUPE PD and AUPE PD Committee. This may include attending meetings, recording minutes, typing and distributing minutes, drafting agendas and agenda packages, and facilitating meeting times
  • Provides administrative support to RDP’s Employee Recognition Program
  • Assists in the collection, tracking, and approval of Tuition Waiver applications for staff and faculty.
  • Facilitates the data entry of various documents including performance evaluations, transcripts, emergency contact information, personal data updates, onboarding etc.

Reception and Customer Service
  • Provides receptionist duties for the P&C Division Office in alignment with the posted office hours.
  • Acts as the first point of contact for general inquires to the P&C general inbox, reception desk and main telephone lines and triages questions to appropriate parties within P&C

File and Record Administration
  • Maintains a comprehensive filing system including archival and storage inventories for the Division in accordance with the Red Deer Polytechnic records management system
  • Accurately files a high volume of confidential documents into employee personnel files
  • Maintains the employee personnel file room by creating new employee files and administering annual archiving of past employee personnel files

Required Qualifications
  • Completion of a 1-year college certificate, one year of University study or equivalent in Human Resources, Business or a related discipline
  • Over two to three years of related experience in a Human Resources office or administrative setting
  • Proficiency in Microsoft Office Suite including 365, Word, Excel, Teams and Outlook are required
  • Excellent interpersonal skills
  • Ability to work independently and in a team environment
  • Demonstrated excellent written and oral communication skills
  • Excellent telephone and customer service etiquette
  • Ability to change tasks, working environments and priorities quickly and efficiently
  • Ability to plan, organize, set work priorities, and adhere to deadlines is essential
  • Advanced understanding and application of confidentiality, integrity, diplomacy, professionalism and tact
  • Self-motivated with the ability to positively handle change
  • Superior attention to detail and accuracy
  • Current knowledge and understanding of Administrative processes used in the operation of a large organization and the ability to apply that knowledge.
Preferred Qualifications
  • Two year Diploma in Business Administration preferred
  • Experience using Banner, Cognos and Launchpad or complex databases would be considered assets
  • Previous experience in a post-secondary, government or unionized setting an asset
Salary or Hourly? Salary
Salary $24.05 - $28.13 per hour
