Position Title Program Assistant (Trades & Technology)
Position Summary
Are you a proactive, detailed-oriented professional with a passion for excellence? The School of Trades & Technology is seeking a dynamic individual to join our high-performing administration team in the role of a permanent, full-time Program Assistant starting in July. The Program Assistant is responsible for providing administrative support to programs within the School of Trades and Technology. This position acts as the front-line support for student inquiries and will provide program-specific information to our students as well as our leadership, faculty and administration teams as required.

This position has a variety of tasks including assisting students, faculty, and the general public who initiate contact with the School of Trades and Technology, including project administrative support during periods of curriculum renewal and/or accreditation. The incumbent will use reporting systems to generate reports and maintain databases.

The Program Assistant performs a wide variety of administrative support services, all of which contribute to the efficient and professional operations of the school. If you have a keen eye for detail, strong communication skills and thrive working in a fast-paced environment, this role is for you.
Position Responsibilities
Responsibilities of the Program Assistant, School of Trades and Technology include but are not limited to:

Program and Administrative Support
  • Support Associate Dean, Faculty, and Operations Manager with course/program delivery and execution
  • Provides administrative, student, and program support
  • Organizes and prepares for new academic year by preparing new class schedules and forwarding to internal areas as required, updating student forms, attendance and marks records for certain specific program areas.
  • Generates agendas/minutes and compiles supporting documents for program meetings
  • Processes orders for program resources
  • Coordinates instructor submission; completes the preparation, of course outlines as required, course packs and manuals
  • Maintains administrative filing system including managing current and archived records
  • Generates reports through Banner/Cognos and other databases
  • Maintains information on program website; updates program and faculty/staff information on website
  • Assists and coordinates the collection of eligible recipients for the RDP Scholarship and Awards, using AIT and RDP mark sheets

Communication
  • Provides general information to prospective students inquiring about apprenticeship programs
  • Communicate with students on behalf of the Staff and Faculty as required and as appropriate

The School of Trades and Technology encompasses 17 Trades Apprenticeships and two Engineering Technology programs and is entering a period of significant growth in Skilled Trades enrolment.
Required Qualifications
  • Two (2) years of post-secondary training, completion of a community college certificate in Business Administration, Office Administration, or related
  • Proficient in Microsoft Office 365, including SharePoint
  • Working knowledge of Records Management
  • Ability to learn and adapt to new software programs
  • Demonstrated ability to work successfully with diverse groups of people
  • Ability to work both independently and in collaboration with a team
  • Demonstrated ability to take initiative and proactively complete tasks
  • Strong organizational and time management skills
  • Ability to develop and maintain positive working relationships with all contacts internal and external to the Polytechnic
  • Experience scheduling/setting up meetings and appointments on and off campus, this may include travel arrangements
  • Experience preparing meeting agendas, minutes, letters and memos accurately
  • Demonstrated effectiveness and clarity of verbal and written communication with excellent interpersonal communication skills and phone manners
Preferred Qualifications
  • Current knowledge of the administration of a post-secondary educational institution would be an asset
  • Working familiarity with Alberta’s Apprenticeship training system
Salary or Hourly? Salary
Salary $49,428 - $57,823 annually
