Position Summary

Continuing Education and Corporate Training is seeking a dynamic and proactive Project Coordinator to join our team and lead the review, application, and implementation of a new registration database for our non-credit programs and courses. As the Project Coordinator, you will be pivotal in planning, designing, implementing, and assessing the database for our institution, working closely with project sponsors and a diverse range of internal and external stakeholders. Position Responsibilities
  • Leads projects and strategic initiatives, by providing project management expertise
  • Leads project teams and is responsible for project design and planning; implementation and completion; and project assessment
  • Ensures project milestones are being met according to timelines
  • Identifies issues and solutions while providing advice on project progression
  • Acts as liaison with committees and task groups collaborating with faculty and staff to ensure project success
  • Acts as a liaison to external stakeholders and project team members to ensure project progress and success.
  • Mentors external parties/partners regarding applicable RDP processes and practices
  • Leads collaborations with other internal departments to complete key project initiatives, such as Marketing & Communications, Work Integrated Learning, Registrar’s Office, and Schools

  • Develops project related documentation including, but not limited to, project plans, scheduling updates and revisions, critical path, proposals, business cases/plans, project deliverables, agenda packages, minutes, etc.
  • Proactively and independently conducts necessary research, liaising with internal and external contacts to gather necessary information in anticipation of each meeting
  • Ensures all project action items are followed up by project members
  • Presents project completion summaries to project sponsors and department heads
  • Organizes meeting logistics such as scheduling, room booking, catering, etc. (this may be delegated to other administrative support)
  • Creates and presents reports to meet internal and external timelines and requirements. This can include narrative, financial and other types of reporting.
  • Coordinates the implementation of approved budgets including personnel, capital, operations, special projects & renovations
  • Coordinates and monitors budget transactions within scope of authority and resolves issues as they arise
  • Coordinates all areas of hiring and the employee lifecycle (this could include working with various School or Division staff to coordinate hiring process)
  • Makes recommendations to hiring manager(s) regarding personnel contracts to meet the various collective agreement requirements
  • Maintains confidentiality of personal information in accordance with Polytechnic policy, standard practices, and Freedom of Information and Protection of Privacy Act
  • Coordinates and manages the assignment of office space for project staff

Required Qualifications
  • Four (4) year undergraduate degree in a related program representing four years of study or equivalent.
  • Project management experience is required
  • Ability to champion and lead change; a proactive, collaborative, results-oriented style
  • Ability to work in a dynamic, ever-changing, fast-paced environment with multiple demands, competing priorities and numerous deadlines
  • Ability to use and interpret complex data to accurately advise and inform decision makers
  • Strong analytical skills, ability to think outside the box, and apply creative solutions to issues presented
  • Able to advance multiple operational initiatives and decision points within established timeframes and budgets
  • Strong leadership and teambuilding skills
  • Excellent interpersonal, relationship building, and conflict resolution skills
  • Ability to exercise good judgement and discretion, and maintain confidentiality
  • Effective organizational, time management, and planning skills
  • Excellent oral, written, and technical skills
  • Proven ability to determine priorities, be self-directed, and work with minimal supervision
  • Knowledge and awareness of the operation of a post-secondary institution is preferred
Preferred Qualifications
Salary or Hourly? Hourly
Salary Starting at $40.42 per hour
Benefits and Compensation Information
An additional 15% of the hourly rate in lieu of vacation, statutory holidays and benefits.
